Steps



GDH HR Feed is an employee database which is shared by a corporate account with Egencia to create profile in the online system.



Egencia CTS Team uploads data in CCI



CG employee needs to raise a ticket on the service central portal for profile related queries



User needs to select service Global Data Hub to request for a profile creation.



Exception for profile is not created:- Cx needs to provide approval from Project manager, his billing address, service portal ticket number and charge on ICCR grade A to E



E to F :- ICCR



CG SELF Booking mode- Only Traveler or Travel Team member will call us.



Project Code and its Feed



Project Code is mandate billing unit required to initiate the booking and later customer use the same Project Code for the reimbursement purpose in their organization.



CG shares GDH Feed 3 times in a week with Egencia. Monday, Wednesday or Friday



Egencia CTS team uploads data in CCI.



Project code along with their respective approver uploaded in CCI.



IN ANY PROJECT CODE IS NOT REFLECTING, it means the same is not shared by CG with Egencia.



If associated approvers name is not correct. CG needs to fix the same.



If the travel is urgent and within 3 days:- It will go on ICCR and alternate Project code along with the approval's approval.



Grade A to D- Economy- Project Manager- Amex BTA –For Hotel (ICCR)



Grade E- Economy-Line Manager-Amex Company Card(Physical)-For Hotel (ICCR)



Grade F-Economy(Business (More than 6 hours)-No Approval-Amex Company Card(Physical)-For Hotel (ICCR)

If project Code is not mapped, customer needs share alternate code and approval from the respective project Manager.



In such scenarios, TKT will be issued under ICCR and project code will be used for the validation purpose.

CG has their own Guests Houses at Mumbai & Pune Campus.



The above is rule is not applicable for Grade F employee.





If Guest is not available then we will book hotel, Though First priority would be Guest House.



Exception for Guest House:-





Only A to E Grade Guest house is available.



Guest is only for Company's employee. It can't be booked for dependent.



Dependent Travel-



Dependent or family Travel is a common practice in CG where people would travel with family as part of relocation of visa interview purpose.

Imp points to Remember



Hotel options- We should always prioritize to share corporate rates(if available)



Non-standard hotels- Oyo 7 Treebo are blocked online. In case, It should never be booked online if available rather should be reported to EGTS & SPM immediately.



Price Match gurantee- For Air will do Price Match. However, For Hotel will not do.

Accounts
1) Strategic account - These are for premium companies
KAT - AB InBev, Reckitt Benckiser, BP IN, Newell, Uber, Workday ( for these a special team is assigned )
2) Non- Strategic Account - These are for normal companies (core companies)

Payment Mode of Egencia:
ICCR - Individual credits card(whether personal or company provided)
Company Card (virtual card) - by default ( don't need to ask the card details)
On Account - Egencia will send the invoice to the company where they will charge internally from the traveler.

Cap Gemini is on company card
Egencia books company sponsored reservation not personal reservations.
SSO - Single Sign On ( which means if profile is logged in then simply close, they do not have to relog in again.



CTA booking- escalate to company ( contact to Jasmeet Singh)

Three types of reservations:

Online - Customer may book on his own using website.
Offline/ TC (Travel Consultant) asst. - where cx contact us for making the reservation.


NSB ( Non standard booking) - that can't be booked on portal. We book for the cx. AKA Off off line//

Validation modes: whether particular company/reservation need the approval to travel with Egencia.

No approval - No Approval Required to book any reservation.

Systematic Approval Blocking- Reservation will only be issued once trip is approved. For LCC it depends upon the profile.
Example - Cap Gemini (need approval in both cases whether GDS / LCC)

Systematic Approval (Non-Blocking) - Reservation will be booked without any approval and system will send FYI to approver.



Non-Compliant Trip Approval (Blocking) - Booking outside of company travel policy will not be issued until approved.

Non-Compliant Trip Approval (Non-Blocking) - All the reservation will be booked and issued, only notification will be sent to respective approvers in case of out of policy reservation.

b) Sab Miler - Same Policy as Crown. ( Self Bookings is revoked) / if cx do not have self right, redirect to Travel Admin team and they deny for x y z reason, then we will book)
c) GCC - Self boking rights ( push back for pt. -to-pt. reserv)//
2) Newell Brands India:
a) No approval mode.
b) Profile request only from Geralda / Garima would either call or will send all the details to create a profile.
c) We can create profile if they are unable to make the profile once will get the filled form that they will share.

3) Reckitt Benckiser:
a) No complaint must be approved. Within Policy booking will be confirmed and notification will be sent.
b) Travel Insurance can be booked for only international travel.


c) Guest booking will be booked under guest account only.
d) Payment mode - On account- for all , Hotel - ICCR.


UBER IN ( Usually 5hrs:30 min. - Economy)
# no uber mode.
# Never push back the cx
# Domestic booking will be handled by them.
# If company not available, personal card can be used.
# Guest booking can made without arranger assistance.
# Can not assist for paid seat or meal.
# If traveler ask specific airline which is blocked for us, we cannot book that even offline as well. ( Resolution- inform that uber doesn't have those airlines and contact the security team for the same.
Risky Location:
If there would be any risky location/airport code, then there is a special security team that is set up on Egencia site and will give trigger for the approval.
If still cx has some queries regarding the location, kindly refer to contact Uber Security team.

Medical Case: If any traveler has medical condition, then we cannot straight away ask for the medical information. It will be handled by the UBER HR Team. We can book the business class as they will be booking it using their personal card.

# Uber is on SSO ( Single Sign on mode).
# For guest booking, if the email address is verified, ( that the one who is contacting should have self booking rights)// then reportee needs to provide the card details.
# @ext.uber.com - if someone's email id then we can proceed with booking but the requester has to provide the cost Centre details and reporting data.

BP INDIA ( Strategic Acc.):
No Approval Mode.
ICCR Payment Mode.
Advs traveler to get approval for all risky locations.
Provide Insurance only on Request.
Arranger rights are provided.
Always refer to QRG sheet before booking any reservation.
Always advs the traveler to get the appr. for booking although we do take the approval proof.
Never book paid seats and paid meals as well.
No Hotel can be booked in Mauritania and Senegal by Egencia.
All rail reserv. would charge extra INR 500. Need to inform before booking.
BP's Visa is taken care by VISA HQ Team/ Redirect them to the team as a separate contact number is available.
