Minutes of Meeting - Kick-off for ApexLubrication-AIML project on 25th August 2023

Attendee from Chetu: Anshu Raj(Director of Operations), Abdul Bari(Technical Project Manager), Chander Prakash (Team Lead), Ankush Nalewad (Developer), Gautam Buddha (Floor Manager), Randall Iha (Account Manager)

Demo/Discussion

· We welcomed Anthony/Matt/David from ApexLubrication side on the kick-off meeting and went through with the kick-off presentation.

· We updated about our development model and introduced team members. Abdul introduced himself and mentioned his role and explained about executive briefing meeting that Anshu will conduct. We explained our Customer-team interaction model. India team works between 5AM to 2PM EST. Abdul works from UK office between 6AM EST to 3PM EST.

· Anthony explained their roles and responsibilities from ApexLubrication side for this project.

· Anthony mentioned that he and Matt will be the main point of contact for us and will attend all the weekly calls to go through the progress.

· We updated Anthony will be the point of contact for the executive briefing and DO POC meeting.

· Following are the brief details about the project

o Create a standalone AI system for intelligent predictions.

o AI system should have the following modules:

§ Analyzing the old data from the Database(MongoDB).

§ Create the dataset based on the Database.

§ Train the AI Model in real-time and generate the output.

§ AI service will send alarms/notification based on the predicted output.

· We decided to have separate call with Anthony, Matt and David to go through the application and development processes understanding and mentioned that we will coordinate on the timings via email. Anthony mentioned next week they won’t be available after next week they will be able to join.

· We explained the following next steps that we will follow –

o Setup the development environment and other software dependencies on the developers machine.

o Analyzing the requirements that Anthony and Matt has provided.

o Creating the High level design document and sharing that document within the week from now.

o Once the project requirements and workflow will be completed, Abdul will create the project plan having detailed task-list with resources allocation and estimated time.

· We updated the development environment to Anthony, Matt and David –

o AI Scripts

§ Language – Python

§ Database – MongoDB

· We further had discussion about Development, Staging(UAT) and Production environments and Anthony/ Matt is supposed to provide the Staging(UAT) and Matt will upload the created scripts on the Production environments.

· We explained Anthony, Matt and David about our 5:15 report process where Anthony confirmed that we should copy Anthony and David in these reports. Abdul further updated that from today we will be sending one 5:15 report on each business day.

· Anshu explained the executive briefing slide.

· Randall explained on the accounts/financial related slide. Randall also explained about two weeks’ notice is required when project or any team member needs to be rolled-off and suggested to contact Sales for any financial related discussion.

· We concluded after discussing our action items and meeting ended on good note.
