Insurance



Egencia does travel insurance for non-strategic accounts unless specified in miscellaneous remarks.

We do insurance for all types of bookings such as dummy for visa purpose and assured travel too.

The Process to be followed for making travel insurance is mentioned below :-

If one approaches to make travel insurance, Check travel policy of the account then share the form with the traveler.

Also, check for CC details in profile, if not available, ask the traveler to update the same in profile before issuance.

Once the customer shares the filed form, use the insurance link to initiate the insurance for the traveler.

Egencia book the Silver insurance unless specified for a higher category such as Platinum.

Travel Insurance is charged on the same as all other products for that account.

Fill in the details from the template in order to confirm the same.

Share the PDF of it with the traveler for the confirmation.

Go to "By policy" on left bar. Select international in Travel Type.

Choose Geography Cover.

Then select Date of Birth.

Enter dates of travel. Then enter

Pick the lowest insurance " Global citizen Prime holiday silver".

Select insurance and then fill Details from the email you received with details from the customer.



After booking insurance. Don't raise regular bill back. Use " insurance billback form".



To cancel the insurance.

Use Policy number

Go to "Manage policy" and search policy number.

Ask CX for reason for the cancelation.

Then enter the reason for the cancelation.

We can cancel the insurance without any cancelation fee before 24 hours of Travel.

Go to "Refund Form"





To change or modify insurance.

Go to Endorse right where the cancelation happens.

Make changes and submit.

It takes 24 to 48 hours to be updated in the policy.



Modification.

Raise the insurance Wufoo to help generate invoice at the back end.

To modify the insurance, login to the portal, click on Manage policy, search by policy number, customer name and click on Endorse to modify the Traveller's name, contact details, Passport number etc.

Remember the changes will reflect on the portal within 48 hours so advise the same to traveler accordingly or you may cancel the insurance and rebook.

To amend the date if the travel has already started, customer has to fill Travel Proposal Form.

Then go to Manage policy and click on Extend. Mention the new travel end date and attach the above form along with Insurance policy and click on submit. Raise the insurance Wufoo of the received amount.

When the travel has already started but the traveler doesn't have insurance and is requesting for same. We need to share filled Prime Proposal, good health form, Insurance template and passport copy with the vendor to issue a new insurance.

For non-Indian Passport holders, we need to share filled Travel proposal form, OCI card, Passport copy, Insurance template with the vendor to issue a new insurance.

Also, annual polices are also issued by vendor.

Mandate details to check

Check the name and travel details from the profile. For any discrepancy, reach out to customer for clarifications.

It is mandate to document the insurance number, Salesforce details on the relevant booking in GDS.

It is our responsibility to check for the active insurance referring the documentation in GDS and request the customer for further action

Also, for extension of insurance, we sent request to Sahil and do the same offline.
