**Client Tenant Discovery
In parallel, we are analyzing your tenant using Graph API with the access you provided. We will share an initial inventory summary: sites discovered, libraries found, volume trends, and early ROT signals.
“To keep things simple, there are four levels we can choose from. Which one fits your comfort level?”
Option 1: Identify only (safest)
“We only produce a report: ‘these look like duplicates/old/trivial’. No action.”
Option 2: Archive with approval (very common)
“We move approved items to an Archive location. Nothing is deleted. You can restore anytime.”
Option 3: Delete with human approval (controlled cleanup)
“We delete only after someone approves, and it stays recoverable for a period with audit trail.”
Option 4: Auto-delete low-risk trivial only (most aggressive)
“We auto-delete only very low-risk items like ‘temp files’ or ‘downloads’ based on strict rules. Everything else still needs approval.”

“Who should approve ROT actions: IT, department heads, or document owners?”

“As a starting point, is ‘not modified for 3 years’ considered outdated, or should it be 5 or 7?”
