Sales:
Custom-Window Caveats:
Take something from the beginning to the end and figure out nuances:

Steps:
1. Order is received, and is known to the full extent of the sales team
2. Order is put onto a sales order acknowledgement (Sales Team conducts this process, 1 person parts, 1 person windows, 1 person replacement, 1 does ALL)
3. Sales manager approves the order
4. Sales Packet (Picking ticket) goes to the accounting department --> Controller makes sure that outstanding invoices are not present for a given customer. (Controller is the SUPERIOR approval of all orders).
5. Controller pushes forth information to the Sales representative, sending order approvals to customer
6.
7.

Order comes to RA (via fax, email, online, over the-phone, or (rarely) in-person): Questions asked to customer to figure out the order itself.
Customer: Wants to see outside --> Looking into the window to make sure the specs are made correctly.
Certain customers have pre-set windows. (Sometimes different for city ordinances, and other customization)
Sales order acknowledgement --> Sale is given a sales price
Sales manager gets review and approval of the order.
Controller determines the overall approval for a customer based on outstanding invoices and such.
Sales representative sends out the sales acknowledgement of the order itself. (Customer gets invoice copy for their convenience)
Production gets the start of manufacturing and is sent to the warehouse.
If material is present and on-site, windows are produced. If not present, windows are not finished until the parts are found.
Type of Window: Very specific production line.
Once it is brought to the end, serial numbers are added to each individual windows, which are then put into packaging.
When the window is packed, the window moves down the line to the shipping person. orders are pulled from a checkoff point into order by date, and customer (serial numbers are viewable at this point due to internal security reasons). Windows are shipped the day they are ready or the day after, depending on when finished.
Truck lines are called, and then get instructed by the shipping person on what to take.
Invoices that are made "today" are actually created "tomorrow", but are labeled as "today", even though they are created "tomorrow".
Ex. Amazon can create invoices instantaneously in order to have an immediate creation that can not be finished right away normally by smaller customers.
Checkoff sheets come back at night from the shipping person to the controller. Opening a job = creating a window, which allows for a serial number to enter into the system. Once the jobs are closed, the check off sheets are brought back to the shipping person to match up with the paperwork with the window sent out to a customer. By this time, usually the shipping person has left for the day and is no longer working until the next morning.
Once the information is compiled, with paperwork and closing sheets, serial numbers, etc., the information is taken into the CSR from the shipping person. The information is brought forth as an invoice to the customer.
Once the shipping package comes into the CSR, the CSR (1 person) sorts out the freight terms of "collect" OR "pre-pay add".
IF Collect, NO SHIPPING CHARGE TO ADD.
If Pre-Pay / Add, go into the trucking website and go into the bill of lading area and throw in a handling fee for the product itself. (Prices are a mix of being pre-determined, but also depend on travel distance, weight, etc...).
Line item measurements are created for each individual window made in an order.
Sales Order Acknowledgement Workbench (when found) --> Shipment Workbench (Creates a shipment #) --> Invoice Workbench
Invoice is then created for the customer by the CSR. THIS IS WHEN INVOICES ARE SENT OUT (Regardless of paper copy or online copy). (Ready-Access has 2 copies created, 1 for internal and 1 for customer. Regardless of form).

Payment point is established either a lot of time prior to orders or is by RA's preset net-30, or some sort of negotiation.

Special windows have special steps in order to learn the process. (Whole different process/procedure that takes anywhere from 5-30 days typically)
